Letter from the President
June 15, 2008
Dear Swim & Dive Parents:
Welcome to another great season of swimming and diving at the Northwest Swim Club. The coaches and volunteers are sure your child will experience waves of fun, excitement, camaraderie and team spirit! Northwest is very proud of its teams, especially the positive attitudes displayed by swimmers, parents and coaches. Your children will forever hold many fond memories of being on the summer swim and dive team.
For the past four years we have published a Parent Handbook. Once again we thought that a handbook would provide a good resource for answering questions that you may have about your summer swim and dive season. If you are new to competitive swimming and diving, it can be a bit overwhelming, so we hope this handbook will help explain the many things that will be happening this summer.
Please feel free to call us or any other members of the Swim/Dive Team Booster Board at any time. Questions or concerns about practices or coaching should be directed to your child’s coach.
When you registered your child for the swimming and diving team, you became a member of the Northwest Swim & Dive Team Booster Club. The Boosters run COSA and GCSL meets (staffed entirely by parents), as well as coordinate the awards ceremony and banquet at the end of the season. We raise funds to provide our swimmers with awards, equipment, breakfasts, fun-days, parent handbooks, family files, and much more. Please plan on working at our home meets and championships. There are many opportunities to get involved and have more fun!!
We look forward to meeting each of you and working with you this summer!
Sincerely,
Mike Leahy
President, Northwest Swim & Dive Team Booster Club

Northwest Swim & Dive Team Communication
With over 180 swimmers/divers and five coaches practicing at different times, communication with families is both challenging and vital. The Northwest Swim & Dive Team Booster Club provides the following ways to keep each swimmer, family, and coach abreast of information:
Each registered swim family has a file folder within the Northwest Swim Club family file box at the pool. Announcements about upcoming meets, events, team pictures, unclaimed ribbons, etc. will be placed in these folders. Please check your folder on a regular basis.
Parent meetings will be held early in the season and before championships to communicate information. Please try to attend these meetings. A family e-mail list will be compiled to assist with communication to parents. Visit the pool’s web site for more swim team information: http://www.nwswimclub.org Web sites for swim leagues: GCSL: http://www.gogcsl.org - COSA: http://www.cosaonline.net
Each Coach has a mail folder in the family file box. Please keep the coaches informed if you will miss a swim meet or practices. If ill, please call as soon as possible.

Northwest Swim & Dive Team Designations
The COSA team (Central Ohio Swimming Association) is a developmental team where faster swimmers are excluded by cut-off times. If this is the first year your child is joining a swim team, you may want to consider starting at this level, especially if the child is very young. The basic requirement is that each child must be able to swim the crawl stroke for 25 yards (short racing lines going east and west) with good breathing. You should also have some basic instruction in Breast, Back and Butterfly strokes. The coaches can advise you about switching to the GCSL level as the season progresses, if appropriate. This is a very low-key approach to swim competition. Much of practice time is spent on stroke instruction, although you should not view this like lessons. If you do not know the above-mentioned strokes, you should spend another session or two in lessons. Team scores are not tabulated at meets, only individual times and progress are important. Dual meets are usually held Saturday mornings from 9 am - noon with ribbons awarded. There is no championship competition. Age groups are based on the age the child is on the day of the swim meet. For more information, visit www.cosaonline.net. Annual COSA dues are paid by the Booster Club at the COSA meeting held the end of April.
The GCSL team (Greater Columbus Swim League) is like the "varsity" team. It is the most competitive league in Central Ohio. Yet, there is a wide range of abilities on the team. You don't have to be an expert swimmer or diver to participate at this level. Their meets are every Wednesday evening starting at 4:00 pm (double check with diving coach on this start time) for diving and 6:00 pm for swimming. They usually end around 8:30 pm. Ribbons are awarded at all dual meets and the championships are an all day affair with competition for individual trophies, medals and ribbons. In this league, Northwest has been privileged to win at least one level of championship each year since 1988. The Juniors (10 and under) have won most of the championships, and the Seniors (11-18) and the Divers have had their share too. The tradition of competitive swimming is strong at Northwest. At any level, children are competing in 2 year age groups; 8 and under, 9-10, 11-12, 13-14, 15-18* (*you can only be 18 if you were still in high school during the spring of that year). Age is based on the age you are on June 15 of that particular summer. For more information visit www.gogcsl.org. Annual GCSL dues are paid by the Booster Club in April.
Team Swimsuit & Apparel
Our team suit for girls is the Speedo “Malibu Daisy” in Royal, and, for boys, the Speedo Axil Splice, in either jammer or brief. The team suit is encouraged, but not required. If a team suit is not purchased, it is strongly recommended that a NWSC swim cap be purchased for $5.00 and worn at swim meets to identify the swimmer as belonging to the NWSC Swim & Dive Team.
Suits can be purchased at Open House in May and at the Parent Meeting before meets begin. They may also be purchased at Greenhouse Aquatics 614-488-8560 or 1-866-885-4492 http://greenhouseaquatics.com/ 1327 King Avenue, Columbus, OH 43212.
Spirit apparel is available to purchase. This year, the Booster club is offering t-shirts in both child and adult sizes.
Swim Meet Terminology
In GCSL, the diving part of the meet is held first, then the swimming. Swimmers are separated into two groups, the Juniors (ages 10 and under) and the Seniors (ages 11 – 18). An 18 year old may participate in a summer swim team, as long as he/she attended high school that previous spring. You may want to familiarize yourself with the rules of the leagues we participate found on their web sites.
Warm-ups - There is always a warm-up period, before each meet, usually an hour before the start of the meet. Juniors normally warm up the first half of this hour, and the seniors during the second half. Every swimmer is expected to arrive 15 minutes before warm-ups begin and should report immediately to the coach upon arrival. There are COSA and GCSL rules about this.
Bullpen – The bullpen is a designated area where all swimmers must report before they can swim an event. This is where they are organized in advance of their races, in order to keep the meet running smoothly. There are three announced calls to report to the bullpen. Failure to report to the bullpen on time will result in the swimmer being scratched from the event.
Disqualification (DQ’d) – A swimmer may be disqualified if they are not executing the stroke according to USA Swimming rules, if they dive in early, perform an incorrect flip turn or any number of other events. Although this can be upsetting to a child, “DQs” are very common and should be regarded as part of the learning process.
Starting Block – A staring block is normally used to start an event by diving into the water. A swimmer may not take any stroke until he/she breaks the surface of the water. If a swimmer is not yet comfortable using the starting block, he/she may choose to start in the water or dive from the side of the pool. Backstroke is the only stroke where you have to start in the water.
Finishing – Finishing a race often relies on split-second judgment. A decision to start a new arm stroke or lengthen the current one, may need to be made. In breaststroke and butterfly, both hands should touch the wall together; in freestyle and backstroke you can make the touch with one hand.
Beep, Whistle, or a Starting Pistol – This may be all that is heard for the swimmer to start racing the event! He/she will hear the announcer state, “Swimmers, take your marks.” Then the swimmer will hear “one of the starting signals (Beep, Whistle, or a Starting Pistol).” The swimmer should immediately begin racing. If there has been a false start, the swimmer will hear a continuous beeping or whistle sound or the starting pistol one time during the race. He/she should stop swimming and return to the starting block.
Individual Medley – This is when a swimmer swims four different strokes in one race. The order is butterfly, backstroke, breaststroke, and then freestyle. Special turns are used because swimmers need to change from one stroke to another.
Relays – In relays, the swimmer is one of a team of 4 people each swimming an equal distance. There are 2 relays, the freestyle and the medley.
These apply to GCSL Championships:
Heat Sheet – At Championships, the host team prepares a heat sheet, which lists the order of events and heats with the swimmer’s name and lane number. Heats are listed from slowest to fastest. Heat sheets are usually sold for about $3.00.
Example: In a given heat there may be 16 swimmers entered. If the meet were held in an 8 lane pool, the swimmers would be divided into 2 heats with 8 swimmers in each heat. The first heat would be composed of the 8 swimmers with the slowest entry times. The last heat would contain the 8 fastest swimmers. Swimmers without established times are always entered in the first heats at NT (no time).
At Championships there are preliminaries or prelims and finals. In this case, the last 3 heats, consisting of swimmers with the fast times, are arranged so that the fastest swimmer is placed in the last heat, the next fastest in the next to last heat and the third fastest in the third to last heat. The fastest 6 or 8 swimmers (depending on the number of lanes in the pool) will qualify for the championship final heat and the next fastest 6 or 8 swimmers will qualify for the consolation heat. Those swimmers who have qualified for these final heats will be announced and the swimmers will have 30 minutes to scratch or decline to swim the event during finals. If a swimmer scratches after this 30 minute period or does not show up to swim the event at finals, he/she may be disqualified from the rest of the meet. Always check with your coach before scratching or deciding not to come to an event.
Home Swim Meet Responsibilities
Announcer – The announcer uses a microphone or bullhorn to announce the events of the swim meet and to call swimmers to the bullpen.
Starter – This is an official who uses the electronic starting system to begin an event.
Stroke Judges – These two officials, one from each team, walk the deck and make sure each swimmer is performing the stroke, finish and turns according to USA swimming rules. This position requires special certification.
Bullpen – Four volunteers are needed to help with the bullpen. This is where the swimmers are organized and readied for the swimming events.
Timers – There are 3 timers per lane at home swim meets. Two are from the host team, and one from the visiting team. Timers stand right next to the edge of the pool and need to pay attention to the children in their lane. Three times are recorded on the swimmer’s card and should be held up for the Runner to collect after each event. The middle time will be the one that is considered for placing. If the event is a 25 meter event, timers may be asked to walk to the other side of the pool. Timers must pay attention to the event and know when to expect the swimmer to finish. Familiarize yourself with who the Head Timer is in case you need them. Occasionally, a Stroke Judge may ask for the swimmer’s card, so that disqualification information may be documented.
Head Timer – The Head Timer keeps spare stopwatches around their neck in case of battery failure or other malfunction of a stopwatch in any of the lanes. He/She stands behind the timers and should make sure the timing function is running smoothly in each of the lanes. He/She collects our team’s stopwatches at the end of the meet.
Runners – Runners are the people who collect each swimmer’s card from each of the lanes after each event, and delivers them to the scoring table. Two runners are needed for home meets.
Sorting & Scoring – (scoring is for GCSL only) Two sorters and two scorers are needed for home meets (two for juniors, two for seniors). Sorters sort the cards and determine places. Scorers record information on the scoring sheets and calculate team points.
Ribbons – Two persons are needed to help with ribbons at home meets. Ribbons helpers receive the event cards for the swimmers who placed and swam. Each event has an envelope of ribbons, which have previously been prepared. Complete the back of the ribbon for the appropriate swimmer. Separate the cards and the ribbons by team and place them in the appropriate team’s ribbon box.
Hospitality – These two volunteers help prepare and pass out snacks and drinks to the meet workers, officials and coaches while the meet is in progress.
Bake Sale – A bake sale is held at the GCSL meets and is done so for fundraising purposes. All families are responsible to bring something to sell at the bake sale! We need two helpers with this.
Away Swim Meet Responsibilities
Timers – 1 timer per lane is needed for away swim meets.
Ribbons – 2 volunteers are needed to help with ribbons at away meets.
Scoring (GCSL only) – 2 volunteers are needed to help with scoring at away meets (1 for juniors, 1 for seniors). Sorters are provided by the host team.
Stroke Judge – 1 person who is certified is needed to be a stroke judge.
Bullpen – 2 volunteers are needed to manage the bullpen at away swim meets.
Diving Meet Responsibilities
(Taken from the GCSL Bylaws)
Referee – 2 needed for home meets, 1 for away meets
Judges – 1 home, 1 away
Scorer – 2 home, 1 away
Announcer – 1 home, 0 away
Ribbons – 1 home, 0 away
AFTER MEET CELEBRATIONS
After each GCSL home meet, pizzas will be delivered to the pool. Families may sign up and pay for their pizzas at the bake sale table before and during the first half of the meet. After each away meet, families are encouraged to meet at Morone’s Italian Villa, 1490 Bethel Rd. You may call your pizza orders in before you arrive. Call 457-7444 and tell them you are with the Northwest Swim & Dive Team.
The Swim Meet Experience
Johnny’s First Swim Meet
At home, before the meet, Johnny rests on the couch watching TV and drinks a tall glass of water. His first swim meet begins at 6:00 pm tonight! His mom asks that he get his swimming backpack in order. Johnny checks to see that his favorite swim goggles and pool towel are in his backpack. He has already changed into his new blue jammers and is wearing the new team t-shirt! He steps into his pool slides and makes sure he has soap, shampoo, sunscreen and his Tigersharks sweatshirt. A pair of underwear and shorts is in his backpack too. Meanwhile, Mom is taking the chocolate chip cookies out of the oven and places them on a disposable plate. Mom, dressed in a matching Tigershark spirit shirt loads the minivan and puts on her sunglasses. She brings beverages in a cooler and snacks for the family, sun visors and a change of clothes for Dad, without forgetting his shoes of course. They leave the house in time to arrive at the pool at 4:45 pm knowing that rush hour traffic can be heavy on Bethel Road. Mom drops Johnny off at the pool entrance, then looks for a place to park.
Johnny reports immediately to Coach Mike, and requests to use the restroom. He returns to Coach Mike and is given instructions on the sequence of the events for warm-ups. The swim team chants a spirit cheer. Meanwhile, Mom and little sister Katie enter the pool. They didn’t need to enter their ID code number, because the pool is hosting a swim meet tonight. Mom takes her chocolate cookies over to where the Bake Sale is being set up and gives them to the volunteer. She finds a place at a picnic table to park her things. She socializes with other parents who are waiting for the meet to begin. Johnny’s Dad arrives and changes his clothes. It is almost time for the meet to begin, and Mom hears the announcement, “all timers report to the lanes.” She leaves Dad in charge of Katie and reports to lane #3. She receives a stopwatch from the Head Timer and practices using it, making sure it’s working. She introduces herself to the timer from the challenging team, and greets her team’s other timer for her lane.
Meanwhile, Johnny reports to the bullpen with his goggles and reviews the event numbers written on the back of his hand with a black Sharpie pen, with the volunteer. He is instructed to sit in event and lane order.
The swim meet begins! Mom pays attention to the swimmers in her lane and does a good job of timing. She’s happy one of the other timers volunteered to be the one to write down the 3 times on the swimmer’s card, using a small clipboard. It’s hot and she’s thirsty. Luckily, the hospitality volunteer is coming with an ice cold bottled water! There are many events, but she feels proud because she knows she has done a good job and not missed a time.
Johnny swims the 25m breaststroke and finishes in 27.23 seconds! He thinks he has placed second and Coach Mike compliments him for a perfect swim as Johnny gets out of the pool! No DQ, that’s fantastic! He looks at the swimmers from Delaware who he swam against and says, “good job.”
By 7:00 pm, Dad has written down the family’s pizza order at the Bake Sale table and has paid $10.00 to the Bake Sale volunteer. Pizzas from Morone’s Italian Villa are the best!
It’s 8:15 pm and the final event has been swum. Johnny has showered and put on his Tigersharks sweatshirt. He finds where Mom has saved them a table and puts his things with hers. Mom returns her stopwatch to the Head Timer and reports back to the picnic table and meets up with Dad. The announcer reports the results of the meet. “Northwest Swim Team Juniors have 562 points, while the Delaware Stingrays have 456. Northwest Swim Team Seniors have 600 points, while the Delaware Stingrays have 400.” The team cheers in celebration of the win!
The pizzas arrive and they help themselves to pop, provided by the Booster Club. Katie drinks the juice Mom packed in the cooler. At the table, Johnny brags about how well he has done for a new swimmer, and the family eats pizza together. It’s getting dark and the family packs up for home. Johnny sleeps really well tonight, he’s very tired!
The End.
Parent Responsibilities
1.) Pay your swim team dues no later than the pre-season Parent Meeting. All dues must be received by the first swim meet. No refunds will be made after the commencement of the first swim meet.
2.) Dues will not be prorated at any time.
3.) Please notify the coach in writing if your children will not be participating in a meet due to vacation, camps or other commitments. Please give them this information as soon as you know. If your child is ill, please also try to notify the coach as soon as possible that your child will miss the swim meet due to illness. This also goes for missing part of swim meets, the coach needs to know, to schedule accordingly.
4.) If your child will miss practices, this information should also be communicated to the coach in writing and in advance, if possible.
5.) Please help get your child to practices on time. They are as follows: all COSA 11:00 am – 12 noon; GCSL – Swim: Seniors – 8:15 – 10:00 am, Juniors – 10:00 – 11:00 am; Dive: Seniors – 9:45 – 10:45 am, Juniors – 8:45 – 9:45 am
6.) Families are responsible to check their family file folder on a regular basis. Unclaimed information, two and one-half weeks after the banquet, may be destroyed. Booster Club is not responsible to mail or deliver unclaimed items. If out-of-town, make arrangements for pick-up of awards and other communication in the family file.
7.) Parent volunteering is required. One parent must help during at least 3 swim meets. If pre-assignments are necessary, parents will be responsible to cover jobs assigned. Parents of older and younger swimmers are expected to work! If your child makes championships, you will be asked to work at least one shift at championships.
8.) GCSL families are asked to contribute to the bake sale for all home meets. Baked items, as well as healthy snacks, such as bags of cut up fruits or vegetables are welcome.
9.) Booster Club Board positions are to be one-year terms, with the exception of Treasurer. Please consider running for office! Committee Chairpersons often repeat their positions, but there is always a need for volunteers.
Swimmer & Diver Responsibilities
1.) Jewelry and Chewing Gum – Believe it or not, either of these will get you disqualified. Do not wear jewelry to your swim meet and do not chew gum!
2.) Report to practices and be on time. There will be practice rain or shine. If you must be absent, notify the coach.
3.) Use the restroom prior to practice, to avoid disrupting practice.
4.) Stay in the water at all times, unless instructed otherwise by the coach.
5.) No horseplay at practices. Exercise courtesy and good listening skills at practice. Our team is large and good manners help support a good coaching environment.
6.) Any swimmers practicing with other clubs must come to the Northwest practice on Wednesdays (GCSL) or Fridays (COSA) to be eligible to swim in that week’s meet.
7.) For swim meets, COSA swimmers should arrive at the pool at 7:45 am so they are ready to enter the pool at 8:00 am for warm-ups. GCSL divers should check with their coach to see what time to arrive for warm-ups. GCSL swimmers should arrive at the pool at 4:45 pm, so they are ready to enter the pool at 5:00 pm for warm-ups.
8.) During swim meets, stay in the area near the bullpen for the entire meet. Bring cards, puzzle books, books, games or other activities to keep quiet and entertained while waiting for events to begin. Do not go into the baby pool or shallow area of the pool during meets. Bullpen volunteers will not track you down if you fail to show-up prior to your events.
9.) Be sure all your towels, t-shirts, sweatshirts and other items are clearly marked with your name, as many swimmers have the same items.
10.) Swimmers are expected to stay for the entire meet, unless other arrangements have been made with the coach.
11.) Swimmers should know the events they are swimming prior to the meet and have the event numbers written on their hand. Swimmers should pay attention and be available for all events in their age group, just in case the coaches need to make a last minute change or addition.
